Terms & Conditions

Fitness and Health

At Firefly Pilates, your health and safety are our top priorities. By booking or attending sessions, and by using our studio or equipment, you confirm that you are in good health and have no medical conditions that could affect your participation in Pilates exercises.

It is the client’s responsibility to ensure they are fit and well before taking part in any exercise sessions at Firefly Pilates. We strongly recommend seeking appropriate medical advice if you have any concerns about your health or ability to exercise.

If you develop or experience any new or worsening health issues since your last session, please inform Firefly Pilates before attending your next class. Certain health conditions may be made more severe through physical activity, and your instructor needs to be aware in order to keep you safe.

Firefly Pilates reserves the right to refuse instruction to any client if we believe their health or wellbeing may be put at risk by participating in exercise.

In the unlikely event of an accident or injury occurring on the premises, clients must report it immediately—along with details of how it happened—to Samantha Moore, Studio Owner.

Would you like me to also write a meta title and meta description for SEO (for Google search results)? Those can help improve your page’s visibility.

Bookings and Cancellations

To ensure fairness and availability for all clients, Firefly Pilates requires a minimum of 24 hours’ notice to cancel or reschedule a session.

If notice is not provided at least 24 hours before your scheduled class, or if a cancellation is not made via the approved channels (website, Fresha App, in person, phone, or email), the full session fee will be charged.

Thank you for respecting our instructors’ time and helping us maintain a consistent schedule for all clients.

Firefly Pilates gift certificates are a wonderful way to share the benefits of Pilates with friends and family.

  • All gift certificates are valid for 3 months from the date of purchase.

  • No extensions or exceptions can be made, so please ensure your gift recipient uses their certificate within the validity period.

Use of Facilities

At Firefly Pilates, we’re committed to creating a calm, respectful, and focused environment where every client can enjoy their Pilates experience. To ensure a peaceful and distraction-free environment, clients are asked not to use mobile phones during classes. If you are expecting an important or urgent phone call, please notify Samantha Moore, Studio Owner, before your session begins. We’ll make suitable arrangements to ensure minimal disruption during class.

Clients are welcome to use the studio facilities and equipment provided at Firefly Pilates. However, please note that Firefly Pilates may make adjustments or temporary closures to certain areas of the studio without notice in order to carry out cleaning, maintenance, repairs, or improvements in the best interests of the space and its clients.

For your safety, clients must follow all instructions given by Samantha Moore at all times. To prevent injury or damage to equipment, clients are not permitted to use any studio apparatus unsupervised. Pilates exercises and equipment should always be used under professional guidance to ensure safe and effective practice.

Opening hours

Please note that opening times and class availability at Firefly Pilates may vary from time to time. Schedule changes may occur to accommodate studio owner Samantha Moore’s personal holidays, sick leave, or adjustments during school holiday periods.

Any temporary changes to our Pilates class timetable or booking availability will be communicated in advance whenever possible, ensuring clients have the opportunity to plan their sessions accordingly.

Lateness

At Firefly Pilates, we value punctuality and respect for both our instructors and fellow clients. To maintain a safe and effective session environment, our lateness policy ensures that all participants have sufficient time to warm up properly and avoid injury.

Clients who arrive more than 10 minutes late may be refused entry to the session at the discretion of Samantha Moore, Studio Owner. This policy is in place to:

  • Prevent injury caused by missing essential warm-up exercises.

  • Respect the teacher’s time and the structure of the class.

  • Ensure smooth transitions between sessions and accommodate clients booked for the following hour.

We kindly ask clients to plan their journey in advance and arrive a few minutes early to make the most of their Pilates session in a calm and unhurried manner.

Personal Belongings

Clients are reminded that personal belongings are brought onto the Firefly Pilates studio premises at their own risk. While we strive to maintain a safe and welcoming environment, Firefly Pilates cannot accept responsibility or liability for any loss, theft, or damage to clients’ personal items while in the studio.

We kindly recommend keeping valuables to a minimum and storing any essential items securely during your session.

Dress Code

For your comfort and safety, we ask all clients to wear appropriate Pilates clothing that allows free movement and maintains hygiene standards.

Please avoid wearing items with zips, studs, or rough materials—such as jeans, chinos, or tracksuit tops—as they can damage our Pilates equipment.

To maintain a fresh and comfortable environment for everyone, we also request that clients refrain from wearing strong perfumes, body lotions, or oils. These can cause allergic reactions and may affect the condition of our studio equipment.

Thank you for helping us keep our Pilates studio clean, safe, and welcoming for all.

Safety and accessibility

At Firefly Pilates, your comfort, safety, and wellbeing are our top priorities. Please take a moment to review our studio guidelines before attending your session.

For safety reasons, only water or diluted squash is permitted during classes. Our team may inspect bottles to ensure compliance and help maintain a clean, safe studio environment.

All clients are required to wear grippy Pilates socks during sessions. These help prevent slips, protect the equipment, and ensure a secure workout experience.

To maintain a calm and hygienic space, pets are not permitted in the studio.
Exceptions are made only for registered guide dogs.

Please wait in the parking area with your engine switched off until your class time begins.
Firefly Pilates accepts no responsibility for loss, damage, or fines relating to client vehicles or contents while parked outside the studio.

All new clients must complete their registration forms via the Fresha platform and attend an initial consultation before joining a full Pilates session.

If your health or personal information changes, please update your details promptly on the Fresha App.

Please note that our studio is located on the first floor with no lift access. Unfortunately, this means the space is not suitable for wheelchair users or individuals who cannot manage stairs.

Session expiry dates

If you need to reschedule a booked session, the session must be used within three (3) months of the original purchase date.

Should you be unable to complete the rescheduled session within this timeframe, a refund will be issued in accordance with our studio’s refund policy.

We appreciate your understanding as this helps us manage bookings efficiently and ensure availability for all clients.

Payments and prices

Current session prices can be found on our official platforms:

  • The Firefly Pilates Fresha App

  • Or by contacting us directly at the studio

Please note that Firefly Pilates reserves the right to amend prices at any time.

All sessions must be pre-paid online before attending the studio. This ensures your space is reserved and allows us to manage class availability efficiently.

Clients who wish to pay by cash may do so under the following conditions:

  • A full session deposit is required as a holding fee to secure your booking in case of late cancellations or “no shows.”

  • Cash bookings can only be made in person at the studio or via telephone/WhatsApp.

We appreciate your cooperation in helping us maintain a fair and efficient booking system for all clients.

Pregnancy Pre & Post Natal

At Firefly Pilates, we are committed to supporting our clients safely through all stages of life — including pregnancy and the postnatal period.

Clients who have recently given birth may attend sessions only with the consent or advice of their doctor, GP, or midwife.
If any pain, discomfort, or unusual symptoms occur during or after class, please stop immediately and consult your healthcare professional before continuing.

Participation in exercise during pregnancy or shortly after childbirth may carry an increased risk of injury to both the mother and, in some cases, the unborn child.
By joining a class, clients acknowledge and accept all associated risks of prenatal or postnatal exercise and agree to take full responsibility for their health and wellbeing.

All health information provided to Firefly Pilates regarding pregnancy or postnatal status is treated as strictly confidential and will only be handled in compliance with UK GDPR regulations.

Limitation of Liability

Firefly Pilates cannot be held responsible if a particular time slot or class is unavailable for any reason. We reserve the right to make changes to exercises, equipment, or studio facilities at any time, without prior notice, to maintain the quality and safety of our sessions.

It is each client’s responsibility to ensure they are physically capable of performing the exercises provided during class. By attending sessions, clients accept the inherent risks associated with physical activity and the use of Pilates equipment.

All exercise guidance offered by Samantha Moore or any Firefly Pilates instructor does not constitute medical advice and should never replace the advice of a qualified healthcare professional.

By participating in any Firefly Pilates class or using the studio facilities, clients waive and release Firefly Pilates from any and all liability for injuries, damages, or losses arising from participation.
